Setting Out of Office Calendar Invites Through Outlook

When sending your OOO (out of office) calendar invites to people within goodwill, it's important to send it in a way that does not take space in their own calendars. This guide is relevant to the Microsoft 365 desktop application of Outlook, but can be easily applied on the web version or previous versions as well.


1.) Access your calendar by clicking on the  icon on the bottom left of your window. Once you're at your calendar, click on the  button on the Home tab's Ribbon. This will change your calendar view to view the entire month day-by-day.

 

 

Important note: If you cannot see the Ribbon, click on the  on the top right and select . This will give you access to the Ribbon.

 

 

2.) Select the days you will be OOO by left-clicking and holding through the days you will be absent. Make sure the correct days are highlighted in blue. Click on   when you are ready:

 

 

 

 

 

3.) Once you are in the  section, make sure to click  and add whomever you are trying to send the invite to in either the required or optional attendees area. Next, it is important that the below options are marked properly:

  • In the  drop down menu, make sure everything is check marked.
    •  
  • Make sure your 'Show As' button is set to 'Free'.
  • Make sure Reminders is set to None.
  • Make sure the  button has a checkmark.

 

Once these options are correctly selected, you can finish the rest of the appointment by adding in a title, location, and message in the message pane and press . Below is a sample:

 

 

 

After you press send, it will not take space on anyone's calendars.
