Accessing Microsoft Teams Meeting from GMail

Example of an Invitation

1) Open the invitation email in your Gmail. Here is an example of a meeting invitation below:

If you have used Google Calendar before, you can click the Yes/No/Maybe button to respond to the meeting organizer that you plan or do not plan on attending the meeting. If you click More Options, you can either propose a new time or add a note:

 

To join the meeting, click the Click here to join the meeting button located in the meeting details

 

Since this will be a Microsoft Teams meeting, you can join by either using the desktop application or your default web browser:

 


Join Through the Desktop Application

If you have the Microsoft Teams application installed, you can join using the desktop application. Once you click the Click here to join the meeting option, a tab will open on your default web browser. Open this tab, and click on the Join on the Teams app button:

 

Once you click that button, the Microsoft Teams application will open and navigate directly toward the meeting. The subject of the meeting will be at the top of the window that pops up:

If you'd like to make sure your audio/visual peripherals are set up, click the  icon in the Custom Setup area. A Device Settings area will open on the right side of the window:

These settings can be configured during the meeting as well.

Once you are ready, click the  button on the bottom right to join the meeting


Join Through Your Default Web Browser

You can also join a Microsoft Teams meeting through your web browser if you do not have Microsoft Teams installed on your device. A tab will open on your default web browser once you click the Click here to join the meeting option. Open this tab, and click on the Continue on this Browser button:

 

Microsoft Teams will now try to open in the same tab on your default web browser. A notification will pop up that reads teams.microsoft.com wants to user your microphone and use your camera. Click the Allow button to continue.

 

 

Microsoft Teams will open directly on your web browser and navigate directly toward the meeting. Enter your name toward the top of the window so users know who you are

 

If you'd like to make sure your audio/visual peripherals are set up, click the  icon in the Custom Setup area. A Device Settings area will open on the right side of the window:

These settings can be configured during the meeting as well.

 

Once you are ready, click the  button on the bottom right to join the meeting. If the user needs to accept your request to join, you will be met with a message that reads "When the meeting starts, we'll let people know you're waiting". Once the meeting organizer accepts you, you will be let into the meeting.


 

Troubleshooting Audio and Visual Peripherals

If you are unable to hear meeting participants, and/or participants are unable to hear/see you, follow these steps to diagnose and troubleshoot the issue:

 

First, follow this checklist:

  1. make sure the Camera and Mic icons on the top-right of the meeting are not crossed out 
  2. If you cannot hear another participant, click on the  icon on the top-right. Check to see that the person you cannot hear has the  icon next to their name under the Participants section. If they have that icon, that means they muted themselves and need to unmute themselves.
  3. Make sure your microphone and camera are properly plugged in, and your volume is turned up

 

If following this checklist does not resolve the issue, read the following instructions:

 

 

a) Audio

Access your Device Settings by clicking on the  icon on the top-right. Click the   icon, then . The Device Settings menu will appear on the right side of your screen.

 

 

If you cannot hear participants, Click the speakers drop-down and toggle between speakers until you can hear the participants

If participants cannot hear you, click the microphone drop-down and select the correct microphone until participants can hear you

 

 

b) Video

Access your Device Settings by clicking on the  icon on the top-right. Click the   icon, then . The Device Settings menu will appear on the right side of your screen.

 

 

If participants cannot see you, select the camera drop-down and select the correct camera until participants can see you.
